Production tracking
Know what is ready to produce, and what is not.
A job becomes eligible for production only with a valid approval of its current version. The workshop view shows due dates, quantities, the next action and the approved file, nothing else.
Approval gates production
Starting production is a separate action from approving a proof. The start button is unavailable until the customer has approved the current version, on the screen, in bulk actions and in the API alike.
If a new version is published after approval, the job goes back to awaiting approval and production cannot continue on the old file.
The rule, in one sentence
A job moves into production only if its current version is approved and the order is neither cancelled nor under review. The same rule applies whatever the path: screen, bulk actions, API.
Your own workshop steps
Inside production and quality check, define the steps your team actually uses: digitizing, embroidery, folding, packing. Each job shows its current step; the workshop view counts jobs per step.
Steps belong to each workshop and are ordered. Disabling a step does not touch the history of jobs that went through it.
Lists that answer a question
The files list filters by stage (awaiting approval, ready to produce, in production, quality check, done), by workshop step and by overdue. The workshop view, designed for a tablet, only shows approved files sorted by due date, with large touch targets.
Actions happen in the file detail, confirmed by the server: a list never starts production through an accidental gesture.
Order changes and cancellations
If the Shopify order changes after approval (quantities, products, personalisation), ProofLivo opens a review instead of overwriting the job. An address change alone changes nothing.
Exceptions
If the order is cancelled while a job is already in production, the job is not silently removed: an exception is opened for the team to handle, and the file stays readable.
- Job stages
- Preparation, awaiting approval, changes requested, ready to produce, in production, quality check, done. Plus on hold and cancelled.
- Gate
- Production and quality check require a valid approval of the current version. A new version withdraws the approval; resuming after a hold is recomputed from the real state of the versions.
- Who starts
- The owner, the production manager and the operator move production forward. The designer publishes versions but does not start.
- Custom steps
- Defined per workshop in two phases, production and quality check, with an order. Jobs are counted per step in the workshop view.
- Bulk actions
- Stage change on several jobs at once, with the same approval gate and a report per job.
- Reviews and exceptions
- Order change after approval: a review to handle. Cancellation during production: an exception opened on the file.
- Exports
- Files as CSV, a ZIP archive of one file with its versions and decisions, one customer's data as JSON. Export files are purged after 7 days.
- Shipping
- Stays in Shopify. Completing a job ships nothing and creates no fulfilment.
- It does not create Shopify fulfilments. Completing a job at the workshop never marks the order as shipped.
- A job is completed for its whole quantity. Partial production runs are not tracked.
- It does not connect to machines or plan capacity.
